Setup & Communication
Email introductions to all parties: Buyer/Seller, Lender, Title/Escrow, Other Agents, and Coordinators
Track receipt of executed contract from title
Send executed contract to the co-broke agent, title, and lender
Review contract and track all deadlines (Survey, T-47, Seller Disclosure, Resale Certificate, Subdivision Information, and other contract obligations)
Email key dates to the agent and client
Closing Coordination
Assist with ordering home warranty, survey, and HOA documents (if applicable)
Follow up on repair completion, gather receipts, and distribute to Buyer/Seller
Assist with scheduling the final walkthrough and closing
Communicate closing details and updates to Buyer/Seller
Send pre-closing reminders for utilities, mail forwarding, security monitoring, lawn service cancellation, and smart home access transfers
Ensure compliance approval before closing
Post-Closing & Payment
Send CDA to title company/escrow agent
Send congratulations/thank-you email to Buyer/Seller
Upload closing documents to brokerage compliance system and close out the file
Services billed to title and payable at closing (or invoiced directly if needed)
No fee if the transaction doesn’t close
